FundLabs is designed for researchers and teams working with funding applications, scientific evidence, and AI-assisted drafting. This Privacy Policy explains how we collect, use, disclose, and protect information when you use FundLabs.
This policy applies to FundLabs websites, web applications, account services, AI workflows, file library, billing features, feedback tools, and related services.
1. Information We Collect
Account information
- Name, email address, account identifiers, organization or profile information you provide, authentication status, login method, and security-related records.
- Password or credential data is handled through authentication systems and should not be shared with FundLabs support.
Research, proposal, and project content
- Project titles, research direction, background, hypotheses, objectives, funder category, RFP files, deadlines, page limits, team background, institutional resources, tone settings, custom templates, and proposal drafts.
- Uploaded assets such as figures, PDFs, documents, spreadsheets, tables, raw data files, reference libraries, key findings, legends, imported drafts, annotations, citations, and exports.
- AI prompts and inputs generated from your workflow so we can provide drafting, rewriting, search, citation, and editing features.
Usage and interaction data
- Pages viewed, project workflow steps, feature usage, upload status, draft generation status, editor interactions, export actions, subscription actions, and performance or reliability signals.
- FundLabs uses Mixpanel in production when enabled. Analytics are routed through the approved analytics layer and should not include raw document text, selected text, file names, email, phone, tokens, or raw error messages.
Device and technical information
- Browser type, operating system, device type, approximate region, IP-derived information where configured, language, theme preference, log data, cookies, local storage values, and security telemetry.
Payment and billing information
- Plan, subscription status, order identifiers, invoice requests, billing address fields you provide, transaction history, and payment status.
- Payment card details are processed by payment providers and are not intended to be stored directly by FundLabs.
Feedback and support information
- Feedback type, title, details, attachments you choose to upload, and related diagnostic context needed to respond to your request.
2. How We Use Information
- Provide, operate, secure, maintain, and improve FundLabs.
- Create and manage accounts, sessions, subscriptions, invoices, preferences, and support requests.
- Upload, parse, preview, store, organize, retrieve, and export project assets and documents.
- Generate AI-assisted outlines, proposal drafts, edits, summaries, citations, and suggestions.
- Personalize language, theme, workflow state, and product experience.
- Measure feature performance, reliability, conversion, retention, and product quality using approved analytics events.
- Detect, prevent, and respond to fraud, abuse, security incidents, and policy violations.
- Comply with legal, tax, accounting, billing, dispute, and regulatory obligations.
3. How We Use AI Providers
FundLabs may send selected project content, uploaded document extracts, references, user instructions, and generated intermediate context to AI or document-processing providers so the requested feature can work.
- AI outputs are generated for your workspace and should be reviewed before use.
- We do not intentionally send raw account passwords or payment card details to AI providers.
- We may use aggregated, de-identified, or operational information to improve quality, safety, and reliability.
- We do not use your private unpublished proposal content to train public-facing AI models unless we have permission or another lawful basis to do so.
4. How We Share Information
We do not sell your proposal content or uploaded research files. We share information only in limited circumstances.
- Service providers that help with hosting, storage, AI processing, authentication, analytics, payment processing, email, customer support, logging, security, and document handling.
- Third-party services you connect to or choose to use through FundLabs.
- Organization administrators where your account is provided or managed by an institution, company, team, or enterprise customer.
- Legal, compliance, safety, fraud prevention, dispute resolution, or rights-protection situations.
- Business transfers such as a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.
- With your direction or consent.
5. Cookies and Similar Technologies
FundLabs uses cookies, local storage, and similar technologies for authentication, security, preferences, analytics, and product functionality. See the Cookie Policy for more detail.
6. Data Retention
- We keep account information, project content, files, analytics, billing records, and support records for as long as needed to provide the service and for legitimate business, security, legal, accounting, or compliance purposes.
- Deleted content may remain in backups or logs for a limited period before deletion or anonymization.
- Some records, such as invoices, payment history, security logs, and dispute records, may be retained longer where required by law or necessary for legitimate interests.
7. Security
We use reasonable administrative, technical, and organizational measures to protect information, including access controls, encryption in transit where supported, and monitoring. No online service can guarantee absolute security.
8. Your Choices and Rights
- You may update account profile information and app preferences where the product provides controls.
- You may export supported project content and documents where export is available.
- You may request deletion of your account or certain data, subject to legal, security, billing, and operational limits.
- You may control cookies through browser settings and, where available, product consent controls.
- Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of personal data.
9. International Processing
FundLabs and its providers may process information in countries other than where you live. We use appropriate safeguards where required for cross-border transfers.
10. Children
FundLabs is not intended for children under 13. If we learn that we collected personal information from a child under 13 without appropriate consent, we will take steps to delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the service, email, or another reasonable method. Continued use of FundLabs after the effective date means the updated policy applies.
